Final Filing Dates and Open-Until-Filled Recruitments
Final Filing Dates:
- After your department submits a Vacancy Listing, the Employment and Outreach Consultant/Recruiter will call the contact person in your department to discuss the recruitment, including the final filing date.
- The final filing date will vary depending upon your bargaining agreement contract's requirements. Please refer to the relevant labor contract or Personnel Policies for Staff Members:
- Technical Unit (UPTE/TX), Article 31
- Clerical and Allied Services Unit (AFSCME/CX), Article 28
- Patient Care Technical Unit (AFSCME/EX), Article 29
- Service Unit (AFSCME/SX), Article 28
- Health Care Professionals (UPTE/HX), Article 27
- Research Support Professionals (UPTE/RX), Article 31
- Registered Nurses (CNA), Article 3 A
- Personnel Polices for Staff Members, UCD Procedure 20
- Several factors may also affect your final filing date. When working with your Employment and Outreach Consultant/Recruiter, consider the dates your advertisements will be published, the impact of focused affirmative action recruitment efforts, positions that are difficult to recruit, etc.
Open-Until-Filled:
- For some positions, it is difficult to attract a qualified applicant pool because of the nature of the position (e.g., specialized skills, working hours, salary issues). If a position is difficult to recruit, the department and the Employment and Outreach Consultant/Recruiter may determine (following the original final filing date) that the recruitment should remain open until filled, which will read, "Open until filled but no later than _______" (OTF) in the Employment Opportunities Bulletin.
- For positions with record or history of difficulty with recruitments, an OTF final filling date may be set at the onset of recruitment following discussion with your Employment & Outreach Consultant/Recruiter.
- After the position is posted, the Employment and Outreach Consultant/Recruiter reviews the applications on a weekly basis. Each week, the applications of qualified individuals will be referred to the department. For positions with an OTF final filing date at the onset of recruitment, the first set of applications will be referred to the hiring department following sufficient time to clear layoff or to meet collective bargaining posting requirements, typically two weeks.
- If a layoff applicant with preference applies at any time during the recruitment process, the process for layoff referral is followed. No subsequent referral of applications will be sent until layoff has cleared.
- The department may interview applicants and make an offer of employment prior to reaching the final filing date. Once the hire is made, the department must return the closeout packet to Employment and Outreach Services/HR to remove the posting from the bulletin.
