Application Screening and Referral - PSS Recruitments
Approximately two working days after the final filing date for a recruitment, the Vacancy Coordination Unit will forward the applications that were received (by the final filing date) for HR screening. The "two days" is to ensure that all applications submitted at the UC Davis Campus and Health System Employment Offices have been received and entered into our applicant tracking system.
Depending on workload and staffing, the applications will be ready for mailing or pick-up five to eight working days after the final filing date. If the recruitment is open-until-filled (OTF) the applications will be forwarded to the hiring department on a weekly basis. In general, OTF applications received by 5 PM each Friday will be routed for HR screening the following Monday morning for screening and subsequent referral to the hiring department.
When screening the applications, HR screening will proceed as follows:
- Review the requirements of the position (skills, knowledge, abilities, experience, and special requirements) that are outlined in the Vacancy Listing and Position Description.
- Review affirmative action goals and the applicant pool for diversity.
- If necessary, contact the department's recruitment contact (identified by the department in Job Machine system) or supervisor to clarify screening criteria.
- Review applications for completeness. The application must be complete, which includes answers to questions #6, #7 & #8 on the application form.
- Any special supplemental requirements (e.g., supplemental form such as clerical, programmer or lab skills sheet, work samples) must be included with the application to be referred.
- If an application was not signed, or if only a resume was submitted without an application form, Employment and Outreach Services will include instructions to the department with the application referral packet, indicating the department must have each applicant who is invited to an interview complete an application form.
- Using the skills, knowledge, and abilities (SKA's) identified in the Vacancy Listing and Position Description, the Employment and Outreach Consultant/Recruiter will screen the applications. The applications of those who meet the minimum/basic requirements of the position will be referred to the department following the department's request for pickup or mail.
- Review the applications and determine those that most closely match the selection criteria identified in your recruitment plan to determine those applicants that should be invited for an interview and submitted to your selection committee.
