Recruitment Closeout - MSP

Department Responsibilities:
Following the interview and selection process and discussion with the MSP Coordinator regarding salary approval:

  • Confirm the offer in writing and advise the MSP Coordinator of acceptance; she will close-out the job in JMII.
  • Schedule a background check.
  • Inform candidates that the position has been filled.
  • Complete the MSP Recruitment Report - The MSP Recruitment Report should be returned as soon as possible after the conclusion of the recruitment process (preferably no later than 2 weeks after the position has been offered and accepted.) Please note that you must include reasons for non-selection for every applicant -including those that were not invited for an interview. The reasons for non-selection should tie back to the selection criteria that were identified by the department at the onset of the recruitment as part of the MSP Recruitment Plan.
  • Review all applications received by the Department.  Ensure that all original applications received by the department are accounted for and noted on the MSP Recruitment Report.
  • Enter the hire into the Payroll/Personnel System and send the original, signed employment application, position description and offer letter for the person hired to the office of the Associate Vice Chancellor - Human Resources.
  • Your department shall retain records of your recruitment for 3 years (including the original applications for all of the other applicants for the position.)


MSP Coordinator's Responsibilities:

  • Reviews MSP Recruitment Report (closeout packet) for comments, salary, hire date, etc.
  • If the MSP Recruitment Report is not complete, returns packet to hiring department for completeness.
  • If packet is complete, closes in Job Machine.
